Bespoke CRM development for trades and service businesses.
A bespoke CRM follows the way you actually win and deliver work: your stages, your fields, your follow-up rules. We build custom CRM systems that capture every enquiry with its source, carry it from quote to job to invoice, and show you which marketing brings in paying customers.
Fixed quote before we start. One-off build fee, then ongoing management from go-live.
A CRM that records how your business sells.
A CRM (customer relationship management system) holds your enquiries, customers and the conversations around them. A bespoke CRM system, sometimes called a custom CRM, does that job for one business. Instead of adapting your process to a template built for software sales teams, the system starts from the way your customers find you, what you need to know before you quote, and what happens after they say yes.
For trades and service businesses the sale and the delivery are tightly linked. A survey becomes a quote, a quote becomes a job, a job becomes an invoice and, with luck, a review and a repeat customer. Bespoke CRM development joins those steps in one record, so nothing falls between the tools.
Signs you have outgrown a generic CRM.
HubSpot, Pipedrive, Zoho CRM, Capsule and Salesforce serve a huge range of businesses well. These are the signs yours now needs something shaped to it.
Stages that are not yours
A generic pipeline runs lead, qualified, proposal, won. Your work might run enquiry, survey, quote, deposit, booked, signed off. When the stages do not match, the team stops updating them and the pipeline turns into fiction.
Enquiries in five places
Calls, web forms, emails, ad lead forms, marketplace messages and WhatsApp all arrive separately. Somebody copies some of them into the CRM, and the rest live in an inbox until they go cold.
A gap between sale and delivery
The CRM stops at “won”. The quote sits in one tool, the job in another and the invoice in Xero, so nobody sees the whole customer and every handover means retyping details.
A price per seat
Most CRMs charge per user, and the useful features sit on higher tiers. Adding an office manager, an estimator or a second crew lead raises the monthly bill, so businesses ration logins and lose the record.
Fields for someone else’s business
Roof pitch, treatment plan, block and flat number, retainer renewal date: the details that matter to you end up in a notes box, where no report or reminder can use them.
No line back to the ad spend
The CRM knows which deals closed, the ad platforms know which clicks came in, and the two never meet. You end up judging campaigns on form fills rather than paid work.
The parts of a bespoke CRM, chosen for your business.
Most builds combine several of these modules. Discovery decides which ones you need now, and management lets you add the rest as the business grows.
One idea, four very different CRMs.
These are illustrative examples, not client projects. They show how the same building blocks take a different shape in each kind of business.
A roofing company
Enquiries from Google Ads and the website go straight to a survey stage with a booked visit. The surveyor’s measurements and photos build the quote, the deposit triggers the booking, and a completed job raises the invoice in Xero and sends a review request.
A private clinic
Each patient enquiry records the treatment, the referral source and the preferred practitioner. The pipeline follows consultation, treatment plan, first appointment and review, and the reporting shows which treatments and channels bring patients who stay.
A commercial cleaning company
The CRM tracks each site, not just each client: square footage, frequency, access notes and contract renewal date. A tender stage holds the site walk and the pricing, and renewal reminders arrive months before the contract ends.
A marketing or design agency
Leads move through discovery call, proposal and signed contract, then into retained client records with renewal dates, scope and hours used. The owner sees pipeline value next to monthly recurring revenue.
Connected to the tools you already pay for.
A bespoke CRM should sit in the middle of your systems, not replace the good ones. We never rebuild accounting or payroll; we connect to them.
A CRM that tells your ads which leads paid.
Scalepoint runs Google Ads, Meta Ads and SEO for trades and service businesses, so we build CRMs with the marketing in mind. Every enquiry keeps its source from the first click, through the quote, to the final invoice.
When a lead turns into a booked job, the CRM can send that result back to Google Ads and Meta as an offline conversion. The ad platforms then learn from real work rather than form fills, and you can compare channels on cost per booked job.
That only works if the tracking underneath is right, which is why we often pair a CRM build with our Google & Tracking Setup. If we already manage your Google Ads or Meta Ads, the feedback loop is part of the same conversation.
Bringing your records with you.
Your history is part of the value of a CRM. We move it across as part of go-live, test the import with you, and switch over on a date that suits the business.
From HubSpot, Pipedrive or Zoho
We export your contacts, companies, deals, notes and activity history, map them to your new stages and fields, and check the counts match before switch-over.
From spreadsheets
We clean duplicates, split combined columns, standardise phone numbers and postcodes, and agree with you what to keep before anything moves.
From the CRM inside a job tool
If customer records live in Tradify, Jobber, Joblogic or Commusoft, we can move them across or connect to the tool, so the team keeps using what works for scheduling.
From discovery call to a CRM your team uses.
A CRM build follows the same five stages as all our bespoke software: discovery, a written scope with a fixed quote, a build in stages, go-live, then ongoing management.
For a CRM, discovery focuses on the journey of a real enquiry. We follow a few recent customers from first contact to final invoice, note every place their details were typed or copied, and list the questions you cannot answer today, such as which channel brings the best jobs.
The first milestone is usually enquiry capture and the pipeline, because the team feels the benefit straight away. Quotes, jobs, accounts sync and reporting follow, each one in use before the next begins.
A fixed quote, and your data stays yours.
Every bespoke CRM has a one-off build fee, fixed in a written quote after discovery, plus monthly management from go-live covering hosting, monitoring, updates, fixes and small improvements. There is no per-user fee, so adding people does not change the price. The full pricing model sits on our bespoke software page.
A licence to use it
Scalepoint keeps the code and you hold a licence to use it, with the option to buy the code out later.
The code becomes yours
Once you pay the build in full, you own the code.
Your data is always yours
Your customer records belong to your business under UK GDPR, and you can export them at any time.
Common questions about bespoke CRMs
How much does a bespoke CRM cost?
It depends on scope, so we quote after discovery rather than publish a price. A focused pipeline with enquiry capture costs less than a CRM with quoting, jobs, Xero sync and ad-platform feedback. Your written quote fixes the build fee before you commit and sets out the monthly management fee in the same document.
Is a bespoke CRM better than HubSpot or Pipedrive?
They solve different problems. HubSpot and Pipedrive suit a standard sales process. A bespoke CRM suits a business whose enquiries, quotes and delivery follow steps of its own, and where the CRM needs to connect selling to the work itself.
Can you move our data from our current CRM?
Yes. Most CRMs and spreadsheets export contacts, deals and notes. We map them to your new structure, test the import, and switch over on a date that suits you.
Who owns the CRM and the customer data?
Your customer data is always yours, and you can export it at any time. Code ownership is agreed per project in writing: by default Scalepoint keeps the code and you hold a licence with the option to buy it out, or the code becomes yours once you pay the build in full.
Does it work on a phone?
Yes. We build it to work in a browser on a phone, tablet or desktop, so the person on site and the person in the office see the same record.
What happens after go-live?
Ongoing management starts from go-live with every build: hosting, monitoring, updates, fixes and small improvements, so the CRM keeps up as your business and the tools around it change.
