Bespoke staff rota software

Bespoke staff rota software for service businesses and trades.

Bespoke staff rota software knows the rules your rota has to follow: who is inducted where, what each contract allows, and how many hours each person can work. We build custom rota and scheduling systems that check those rules before the rota goes out, help managers find cover fast, and send hours on to payroll and invoices.

Fixed quote before we start. One-off build fee, then ongoing management from go-live.

A rota that knows your rules.

Rota software, or staff scheduling software, decides who works where and when, and tells them. Standard tools handle shifts, availability and leave well. What they cannot know is the set of rules that makes your rota yours: the cleaner who is cleared for one building but not another, the venue that needs a licence holder on every late, the contract that pays for exactly sixty hours a week.

A bespoke rota system writes those rules down and checks every shift against them. Managers still make the decisions, but they make them with the full picture in front of them, and the rota that reaches staff is one the business can actually deliver.

Signs you have outgrown your rota software.

RotaCloud, Planday, Deputy and BrightHR suit standard shift businesses, and many teams never need more. These are the signs yours has rules they do not check.

The rules live in one manager’s head

Who is inducted at which site, who holds the keys, who cannot drive, who needs a supervisor: one person knows, and the rota falls apart when they are on holiday.

Contract hours drift

Some sites get more hours than the client pays for and others get fewer than the contract promises. Nobody finds out until the invoice or the complaint.

Problems surface after publishing

Double shifts, short rest between a late and an early, someone over their weekly hours: the clash shows up after the rota has gone out, so it gets fixed by phone.

Cover by group chat at 6am

When someone calls in sick, a manager scrolls a group chat for a name, with no quick way to see who is free, qualified for that site and under their hours.

Timesheets typed twice

Hours get copied from the rota or from paper timesheets into payroll, and again into client invoices, with errors creeping in at each step.

A spreadsheet per site

Each site, venue or team runs its own spreadsheet, so nobody can see the whole week, move people between sites or spot who is close to their limit.

The parts of a rota system, chosen for your teams.

Most builds combine several of these modules. Discovery decides which you need first, and management lets you add the rest as the business grows.

01

People, skills and permissions

Each person’s skills, site inductions, licences and checks, such as DBS, SIA or food hygiene, with expiry dates. The rota planner only offers people who can actually work the shift.

02

Sites and contracts

Every site, venue or client with its contracted hours, budget, opening times and the skills each shift needs, so the rota is built against what you have sold.

03

A planner that checks as you build

Drag shifts onto people, copy last week’s pattern, or start from a template. Each change checks your rules straight away and shows what needs attention.

04

Working time checks

Weekly hours averaged against the 48-hour limit, with opt-outs recorded, the 11 hours of rest between working days, rest breaks on longer shifts, stricter limits for young workers, and hour limits on right-to-work conditions where they apply.

05

Swaps, open shifts and cover

Staff swap shifts or pick up open ones in an app, within your rules. When someone calls in sick, the system lists who is free, qualified and under their hours.

06

Leave and availability

Holiday requests, availability and approved leave in one place, including holiday accrual for irregular-hours staff, so nobody appears on the rota for a day they booked off.

07

Clock-in and timesheets

Staff clock in and out on their phones, with location checks where you want them, and timesheets build themselves against the shifts on the rota.

08

Hours to payroll and invoices

Approved hours go to your payroll software, and hours worked per site feed client invoices or contract reports, without anyone retyping them.

Warnings before the rota goes out, not after payroll.

A rota tool that refuses to save the moment a rule breaks gets switched off by the first manager who needs cover at 6am. We build checks that warn instead of block. Each issue shows its severity, from a note worth knowing to a problem that should stop the rota, and the manager decides, with the reason recorded.

The checks run while the rota is being built, not after it has gone out. Each issue is flagged by severity, so a manager can see at a glance what must be fixed before publishing and what is only worth a second look.

Your system starts from the same idea but from your own rules. Discovery is where we write them down, many of them for the first time.

Four businesses, four sets of rules.

These are illustrative examples, not client projects. They show how differently rotas work across service businesses and trades.

EXAMPLE

A commercial cleaning contractor

Early and late shifts across dozens of offices, each with its own induction, key holders and contracted hours. The rota shows hours against each contract, and cover suggestions only include cleaners already inducted at that building.

EXAMPLE

A home care provider

Visits planned with travel time between clients, continuity of carers, double-up visits and client preferences. Carers see their round on a phone, and the office sees missed or late visits as they happen.

EXAMPLE

A hospitality and events group

Shifts across venues and one-off events, with a personal licence holder on every late shift, staffing scaled to bookings, and stricter rules for staff under 18.

EXAMPLE

A roofing or installation company

Crews built from people with the right tickets, such as working at height or asbestos awareness, matched to vans and jobs. A rained-off day moves the whole crew and tells everyone at once.

Hours that flow on without retyping.

A rota sits between your people, your work and your money. We connect it on every side, and we never rebuild payroll.

Payroll

Xero Payroll, BrightPay, Sage or QuickBooks Payroll, by API or export. Your payroll software stays responsible for pay, deductions and RTI submissions to HMRC.

HR tools

BrightHR or your HR system for employee records and absence, where it offers an API, so details live in one place.

Job management

Shifts that follow jobs, from your current tool or from bespoke job management software.

Bookings

Staffing that follows customer bookings, from your booking tool or a bespoke booking system.

Accounts

Xero or QuickBooks, so hours worked per site can become client invoices without retyping.

Messages

Text, email or app notifications for new rotas, changes, open shifts and cover requests.

Bringing your teams with you.

A new rota system only works if managers and staff trust it from the first week. We plan the move with that in mind.

From spreadsheets

We turn your current rota sheets into people, sites, shift patterns and rules, and agree with you which unwritten rules to write down for the first time.

From RotaCloud, Planday or Deputy

We export your staff, shift patterns, leave balances and history, map them to the new system, and check the figures match before switch-over.

Side by side, then switch

Where it helps, we run the new rota alongside the old one for a cycle, so managers trust the warnings before the old spreadsheet goes.

From last week’s rota to rules on record.

A rota build follows the same five stages as all our bespoke software: discovery, a written scope with a fixed quote, a build in stages, go-live, then ongoing management.

Discovery starts with a recent rota and the person who wrote it. We go through it shift by shift and ask why each person is where they are. The answers become the rules, and the rules become the scope.

The first milestone is usually the planner with your rules for one site or team. Staff app, clock-in, payroll export and contract reporting follow, each one in use before the next begins.

A fixed quote, and your staff data stays yours.

Every build has a one-off build fee, fixed in a written quote after discovery, plus monthly management from go-live covering hosting, monitoring, updates, fixes and small improvements. There is no per-user fee, so adding staff or sites does not change the price. The full pricing model sits on our bespoke software page.

OPTION 1 · OUR DEFAULT

A licence to use it

Scalepoint keeps the code and you hold a licence to use it, with the option to buy the code out later.

OPTION 2

The code becomes yours

Once you pay the build in full, you own the code.

EITHER WAY

Your data is always yours

Your staff, shift and timesheet records belong to your business under UK GDPR, and you can export them at any time.

Common questions about bespoke rota software

How much does bespoke staff rota software cost?

It depends on scope, so we quote after discovery rather than publish a price. A rota planner with your rules for one site costs less than a multi-site system with clock-in, payroll export and contract reporting. Your written quote fixes the build fee before you commit and sets out the monthly management fee in the same document.

Will it keep us compliant with the Working Time Regulations?

It checks the rules we agree with you, such as weekly hours, rest periods and breaks, and flags any rota that breaks them before it goes out. It supports your managers rather than replacing them, and your business stays responsible for its employment decisions and advice.

Does it run payroll?

No. We never rebuild payroll. The rota software sends approved hours to your payroll software, which keeps handling pay, deductions and RTI submissions to HMRC.

Can staff use it on their phones?

Yes. Staff see their shifts, request swaps and leave, pick up open shifts and clock in from a phone browser, and managers get the full planner on a phone, tablet or desktop.

Who owns the rota and staff data?

Your staff, shift and timesheet records are always yours, and you can export them at any time. We handle them as personal data under UK GDPR. Code ownership is agreed per project in writing: by default Scalepoint keeps the code and you hold a licence with the option to buy it out, or the code becomes yours once you pay the build in full.
