Bespoke booking system

Bespoke booking system development for service businesses and trades.

A bespoke booking system only offers times you can actually deliver, because it knows your people, rooms, equipment and travel time. We build custom online booking systems that take deposits on your terms, collect what you need before the visit, and write every booking straight into the systems you already run.

Fixed quote before we start. One-off build fee, then ongoing management from go-live.

Availability from what you can actually deliver.

An online booking system lets customers choose a time and confirm it without a phone call. For one person offering one kind of appointment, a calendar tool does that perfectly. For most service businesses and trades, though, availability depends on more than a diary: which practitioner and which room, which engineer covers that postcode, how long this particular job takes, whether the equipment is back from the last hire.

A bespoke booking system works those questions out before it shows a time. Customers book around the clock, and every booking that arrives is one your business can deliver, with the deposit taken and the details collected.

Signs you have outgrown your booking system.

Calendly, Bookeo, Square Appointments, Fresha and SimplyBook.me handle standard appointments very well. These are the signs your bookings have outgrown them.

Customers book slots you cannot serve

The calendar shows a free hour, but the room is taken, the equipment is out or the right person is off. The office spends the afternoon moving bookings and apologising.

Travel time does not exist

For mobile businesses, two bookings back to back on opposite sides of town look fine to the booking tool and impossible to the person driving.

Every job is the same length

A one-bedroom flat and a five-bedroom house get the same slot, because the tool books by service rather than by the size of the job.

Deposits chased by hand

Deposits, cancellation fees and no-show charges depend on someone remembering to ask, so they slip, and the empty slots cost you twice.

Bookings typed into other systems

Each booking gets copied into the job system, the CRM or the rota, which takes time and lets errors in.

Someone else’s brand in the middle

Some booking platforms charge per booking or put their own brand and marketplace in front of your customers, including the regulars who would have booked with you anyway.

The parts of a booking system, chosen for your business.

Most builds combine several of these modules. Discovery decides which you need first, and management lets you add the rest as the business grows.

01

Capacity from people, rooms and equipment

Availability comes from what you can actually deliver: the right person, a free room or bay, the equipment the job needs. A slot only appears when all of them line up.

02

Durations and buffers from the job

The size of the job sets the length of the booking, and buffers for preparation, clean-down or loading sit between bookings automatically.

03

Travel-aware slots and service areas

For mobile work, the system checks the postcode, allows travel time between visits, and can offer arrival windows instead of fixed times.

04

Deposits, payments and cancellations

Deposits or full payment at the point of booking, cancellation windows and charges you set, and refunds that follow your policy without a debate on the phone.

05

Reminders and rebooking

Confirmation and reminder messages by text and email, with links to confirm or move the booking within your rules, and prompts for the next visit when it is due.

06

Forms before the visit

Intake questions, health questionnaires, consent forms or access details collected at booking, so the person doing the work arrives prepared.

07

An office view of the day

Today’s bookings, what is unpaid, who is where, and quick tools to take a phone booking, block time or move a customer, all in one screen.

08

Bookings into your systems

Each booking writes straight into your diary, job system or CRM, with the customer’s answers attached, so nobody types it twice.

Four businesses, four ways of booking.

These are illustrative examples, not client projects. They show how differently availability gets decided from one business to the next.

EXAMPLE

A physiotherapy clinic

Each appointment needs a practitioner and a treatment room, and some need specific equipment. New patients get a longer first slot, complete an intake form when they book and pay a deposit; follow-ups book in a tap.

EXAMPLE

A boiler servicing company

Engineers cover set postcode areas, the number of appliances sets the visit length, and customers choose a two-hour arrival window that allows for travel. Annual reminders bring the same customers back.

EXAMPLE

A training provider

Courses have a set capacity, a qualified trainer and a venue. Companies book several places at once and pay by invoice, while individuals pay by card. Attendance and certificates follow from the booking.

EXAMPLE

An equipment hire business

Items carry quantities, delivery and collection slots, damage deposits and turnaround time for cleaning and checks between hires, so nothing goes out twice and nothing goes out dirty.

Every booking lands where it is needed.

A booking starts the work, so it should reach the people and systems doing it. We connect your booking system to the tools you already use, and never rebuild your accounts.

Calendars

Two-way sync with Google or Outlook calendars, so time blocked in a personal diary disappears from online booking.

Payments

Stripe for card deposits and full payments, and GoCardless for Direct Debit on courses, memberships or regular visits.

Job tools and CRM

Bookings create jobs or records in Jobber, Tradify, your CRM or a bespoke CRM, where the tool offers an API.

Accounts

Xero or QuickBooks for invoices and payments, so the accounts match the bookings. Your accounts software stays the home for VAT.

Messages

Text and email providers for confirmations, reminders and follow-ups sent in your name.

Website and ads

The booking flow sits on your own website, measured in Google Analytics 4, with bookings counted as conversions in Google Ads and Meta.

Every booking keeps its source.

Scalepoint runs Google Ads, Meta Ads and SEO for service businesses and trades, so we build booking systems that remember where each customer came from. A booking from a Google search, a Meta ad or a returning customer carries that source onto the record.

Booked and paid appointments can then go back to Google Ads and Meta as conversions, so the platforms learn which people actually book. The Google & Tracking Setup covers the measurement underneath, and our marketing for clinics and wellness businesses shows the other half of the job.

Three ways to start.

A bespoke booking system does not have to replace everything on day one. Most projects begin from one of these.

Keep the simple tool for simple bookings

If Calendly, Fresha or Square Appointments handles your standard appointments well, keep it, and build only the booking type it cannot manage.

Replace the booking tool

We move your customers, services and future bookings across with their deposits intact, and count them on both sides before the switch.

Book straight from a price

Pair the booking system with an instant quote calculator, so a visitor who likes the price can book the work there and then.

From your busiest day to rules on record.

A booking system build follows the same five stages as all our bespoke software: discovery, a written scope with a fixed quote, a build in stages, go-live, then ongoing management.

Discovery starts with your busiest recent day. We go through every booking on it and ask what made each time possible: who was free, which room or van, how long it took, what the customer paid upfront. Those answers become the booking rules.

The first milestone is usually the customer booking flow for your main service. Payments, reminders, forms and integrations follow, and if your staffing depends on bookings, staff rota software can work from the same data.

A fixed quote, and your customers stay yours.

Every build has a one-off build fee, fixed in a written quote after discovery, plus monthly management from go-live covering hosting, monitoring, updates, fixes and small improvements. The full pricing model sits on our bespoke software page.

OPTION 1 · OUR DEFAULT

A licence to use it

Scalepoint keeps the code and you hold a licence to use it, with the option to buy the code out later.

OPTION 2

The code becomes yours

Once you pay the build in full, you own the code.

EITHER WAY

Your data is always yours

Your customer and booking records belong to your business under UK GDPR, and you can export them at any time.

Common questions about bespoke booking systems

How much does a bespoke booking system cost?

It depends on scope, so we quote after discovery rather than publish a price. A booking flow for one service with simple rules costs less than a system covering several sites, resources, payments and integrations. Your written quote fixes the build fee before you commit and sets out the monthly management fee in the same document.

Can customers pay a deposit when they book?

Yes. Customers can pay a deposit or the full amount by card when they book, or set up a Direct Debit for courses and regular visits. Your cancellation and refund rules apply automatically.

Does it sync with Google or Outlook calendars?

Yes. We build two-way calendar sync, so staff see bookings in the calendar they already use, and anything they block there stops showing as available online.

Can you move our existing bookings across?

Yes. We export customers, services and future bookings from your current tool, including deposits already paid, test the import with you, and switch over on a date that suits the business.

Who owns the booking system and our customer data?

Your customer and booking records are always yours, and you can export them at any time. Code ownership is agreed per project in writing: by default Scalepoint keeps the code and you hold a licence with the option to buy it out, or the code becomes yours once you pay the build in full.

Do you charge per booking?

No. You pay the build fee and the monthly management fee set out in your quote, however many bookings you take. Payment providers such as Stripe charge their own card fees.
