Bespoke job management software

Bespoke job management software for trades and service businesses.

Bespoke job management software follows your jobs the way they actually run: your stages, your checks, your paperwork and your clients’ reporting. We build custom job management and field service apps that put the day’s work on every phone, capture sign-offs and certificates on site, and raise the invoice when the job closes.

Fixed quote before we start. One-off build fee, then ongoing management from go-live.

One record from enquiry to paid invoice.

Job management software, sometimes called field service management software, holds everything about a piece of work: who it is for, where it is, who is doing it, what happened on site and what the customer owes. The office plans and tracks; the people on site see their jobs and record the work.

Packaged tools model a typical job. Your jobs might be compliance visits with certificates, multi-day installs with stages, recurring cleans across sites, or reactive repairs approved by a managing agent. A bespoke system starts from those jobs, so the team records what matters to you and the office sees the whole picture without chasing.

Signs you have outgrown your job management software.

Joblogic, Commusoft, simPRO, Tradify and Jobber are mature, capable products, and plenty of businesses never need more. These are the signs yours does.

Jobs run on WhatsApp and paper

Job details go out in group chats, notes come back on paper sheets, and the office pieces the day together from photos and phone calls.

Your stages are not in the tool

Waiting on parts, awaiting insurer approval, second visit booked, certificate outstanding: the steps your jobs actually go through end up as notes, so nobody can report on them.

Certificates and sign-offs go missing

Gas safety records, test results, risk assessments and customer signatures live on different devices and in different inboxes, and the one you need is never where you look.

Clients want reports the tool cannot produce

Landlords, managing agents, insurers and main contractors each want job evidence in their own format, so somebody builds those reports by hand every month.

A spreadsheet on the side

Job costing, materials, subcontractor hours or contract visits sit in a spreadsheet next to the job tool, because the tool has nowhere to put them.

The bill grows with the team

Every new engineer, cleaner or office user adds a monthly seat, so you ration logins and some of the team work outside the system.

The parts of a job management system, chosen for your jobs.

Most builds combine several of these modules. Discovery decides which you need first, and management lets you add the rest as the business grows.

01

Job stages your way

Your statuses, in your order, with the fields each one needs. A job cannot move to complete without the photo, the checklist or the signature your process requires.

02

Scheduling and dispatch

A planning board that knows each person’s skills, accreditations, location and availability, so the right engineer or cleaner gets the right job and nobody gets double-booked.

03

An app for the people on site

Each person sees their day on their phone: addresses, access notes, job history and what to bring. We can build it to keep working where the signal drops and catch up when it returns.

04

Checklists, photos and certificates

Checklists, before and after photos, readings and signatures captured on site, with certificates such as gas safety records and EICRs produced from the visit in the right layout.

05

Variations and extra work

Extra work found on site gets priced and approved before anyone does it, so it reaches the invoice instead of becoming an awkward phone call afterwards.

06

Materials and van stock

Materials booked to each job, van stock tracked by vehicle, and reorder prompts on your own levels, so the true material cost of every job is on record.

07

Reports for clients

Job evidence sent automatically to landlords, managing agents, insurers or main contractors in the format each one expects, or shown in a client portal they log into.

08

Invoicing and job costing

A finished job raises the invoice in Xero or QuickBooks, and the system shows labour, materials and travel against each job, so you know which work actually pays.

Four kinds of job, four different systems.

These are illustrative examples, not client projects. They show how the same building blocks take a different shape for different work.

EXAMPLE

A heating and plumbing company

Annual service contracts generate the visits, engineers complete gas safety records on the phone, and copies go to the landlord or letting agent automatically. Next year’s visit books itself into the plan.

EXAMPLE

An electrical contractor

Multi-day installations carry their own stages and test results. Periodic inspections produce the EICR on site, and any remedial work becomes a priced quote the same day.

EXAMPLE

A commercial cleaning company

Recurring visits across dozens of sites, each with its own checklist and access notes. Cleaners record each visit with photos, missed visits trigger an alert, and every client gets a monthly report.

EXAMPLE

A property maintenance company

Managing agents raise reactive jobs against each block, approval limits apply per agent, photos prove the work, and invoices group by block so the agent can recharge leaseholders.

Build around your tool, or replace it.

Bespoke does not have to mean starting again. We pick the route with you in discovery, based on what your current setup already does well.

Add to the tool you have

Keep Joblogic, Commusoft, simPRO or Tradify for what they do well, and build the missing piece around them through their API: a certificate app, a client report or a planning rule.

Replace paper and WhatsApp

If jobs still run on paper sheets and group chats, a focused job app built around your current process is often the simplest first step for the team to adopt.

Replace and connect

When the tool no longer fits, we build a system around your jobs, move your customer, site and job history across, and connect it to the tools you keep.

Connected to the tools around the job.

A job system sits between the sale and the accounts. We connect it on both sides, and we never rebuild accounting or payroll.

Accounts

Xero or QuickBooks for invoices and payments. VAT, Making Tax Digital and CIS deductions stay in your accounts software; we connect to it rather than rebuild it.

Quoting

Accepted quotes become jobs with every detail carried across, from your current quote tool or from bespoke quoting software.

Your CRM

Customer and site records stay in step with your CRM, so sales and delivery work from the same history.

Rotas and timesheets

Hours on site flow to timesheets and payroll exports, or into staff rota software built around your teams.

Payments

Stripe card payments and GoCardless Direct Debit for contract work, with payment links on every invoice.

Customer messages

Text and email updates for booking confirmations, arrival windows and completed work, sent from the job record.

From the ad click to the paid invoice.

Scalepoint runs Google Ads, Meta Ads and SEO for trades and service businesses. Because we also build the job system, each job can keep the source of the enquiry that started it, all the way to the paid invoice.

That lets you compare channels on completed, paid work rather than on enquiries, and send real results back to the ad platforms. Our Google & Tracking Setup provides the measurement underneath, and our marketing for trades and construction businesses covers the other side of the loop.

Start with one real job, then one team.

A job management build follows the same five stages as all our bespoke software: discovery, a written scope with a fixed quote, a build in stages, go-live, then ongoing management.

Discovery follows a few recent jobs from the first call to the final payment. We note every message, form, photo and spreadsheet along the way, and every point where someone typed the same details twice. That map becomes the scope.

The first milestone usually goes to one team or one job type, so the people on site shape the app before everyone uses it. Dispatch, certificates, client reporting and accounts sync follow, each one in use before the next begins.

A fixed quote, and your job records stay yours.

Every build has a one-off build fee, fixed in a written quote after discovery, plus monthly management from go-live covering hosting, monitoring, updates, fixes and small improvements. There is no per-user fee, so adding engineers, cleaners or office staff does not change the price. The full pricing model sits on our bespoke software page.

OPTION 1 · OUR DEFAULT

A licence to use it

Scalepoint keeps the code and you hold a licence to use it, with the option to buy the code out later.

OPTION 2

The code becomes yours

Once you pay the build in full, you own the code.

EITHER WAY

Your data is always yours

Your customer, site and job records belong to your business under UK GDPR, and you can export them at any time.

Common questions about bespoke job management software

How much does bespoke job management software cost?

It depends on scope, so we quote after discovery rather than publish a price. A focused job app for one team costs less than a full system with dispatch, certificates, client reporting and accounts integration. Your written quote fixes the build fee before you commit and sets out the monthly management fee in the same document.

Can it work alongside Joblogic, Commusoft or Tradify?

Often, yes. Many job tools offer an API, and we can build the missing piece around the tool you already pay for. What each API exposes varies by product and by plan, so we check it during discovery before we promise anything.

Does it work where there is no signal?

It can. If your team works in basements, plant rooms or rural areas, we build the app to store the day’s jobs on the phone and send everything back once the signal returns.

Can it produce our certificates and client reports?

Yes. We build forms that match the certificates and reports you issue today, fill in what the system already knows, and produce the finished document as soon as the work is signed off.

Who owns the system and our job data?

Your customer, site and job records are always yours, and you can export them at any time. Code ownership is agreed per project in writing: by default Scalepoint keeps the code and you hold a licence with the option to buy it out, or the code becomes yours once you pay the build in full.

Do you handle VAT, CIS and payroll?

Not inside the job system. Your accounts and payroll software stay responsible for VAT, Making Tax Digital, CIS and RTI, and we connect the job system to them so the figures arrive without retyping.
