Bespoke quoting software for trades and service businesses.
Bespoke quoting software prices work the way you do: your rates, your margins, your supplier prices and the judgement your best estimator applies. We build custom quoting and estimating tools that turn a survey or a phone call into an accurate, branded quote the same day, accepted online and handed straight to the job.
Fixed quote before we start. One-off build fee, then ongoing management from go-live.
A quote tool that knows how you price.
Most quoting software treats a quote as a list of lines from a price book. That suits plenty of businesses. For many trades and service businesses, though, the price is not a list. It is a calculation: area times pitch plus waste, rooms times frequency, hours times crew plus travel, with a minimum charge and a margin on top.
Bespoke quoting software captures that calculation once, in a tool built for your business. Anyone on the team enters the job details and gets the same price you would have given, in your branding, with your terms, ready for the customer to accept. Estimating stops depending on one person and one spreadsheet.
Signs you have outgrown your quoting software.
Tradify, YourTradebase, Powered Now and Xero quotes do a good job for straightforward line-item pricing. These are the signs your pricing now needs a tool shaped to it.
The real price lives in a spreadsheet
Your estimator works the job out in Excel, then retypes the totals into the quote tool. The tool only ever sees the answer, never the working, so nobody can check it later.
Two people, two prices
Give the same job to two members of the team and you get two different numbers. Customers notice, and so does your margin when the lower figure wins.
Supplier prices move, quotes do not
Merchants change their prices, and your price lists get updated by hand in three places, or not at all. The margin you think you are quoting is not the margin you are getting.
Only the owner can price the hard jobs
The complicated quotes wait for one person, usually in the evening or at the weekend. Every day a quote waits is a day the customer spends talking to someone else.
Options turn into a mess
Customers want a choice: a standard and a premium option, a few optional extras. The tool handles one fixed list, so options become separate quotes or a paragraph of notes.
Sent quotes disappear
You cannot see whether a quote was opened, nobody chases it at the right moment, and you have no win rate by job type, so you cannot tell which work is worth pricing.
The parts of a quoting and estimating tool, chosen for your work.
Most quote tools we build combine several of these modules. Discovery decides which you need first, and management lets you add the rest as the business grows.
Four businesses, four ways of pricing.
These are illustrative examples, not client projects. They show how differently the price of a job gets worked out, and why one template rarely fits.
A roofing company
Roof area and pitch from the survey or from measurements taken off aerial imagery, a waste factor by material, scaffold and skip costs by access, and labour by crew size. The customer sees three options, from a repair to a full re-roof, on one page.
An electrical contractor
Rewires and installs priced per point and per circuit, with the consumer unit, testing and certification added automatically. Extra sockets and outside lighting appear as optional extras, and every quote carries the same terms.
A commercial cleaning company
Floor area, floor types, visit frequency and hours per visit build up a monthly contract price, with staff costs including holiday pay and pension, consumables and supervision. A margin check stops a tender going out too thin.
An events business
Guest numbers, venue, staffing ratios, equipment hire and travel produce a priced proposal with packages and add-ons. When the client changes the guest count, the price and the staffing follow.
From accepted quote to job and invoice.
A quote is the start of the work, not the end of the sale. We connect your quote tool to the systems that take over once the customer says yes.
Quotes that tell your ads what the work was worth.
Scalepoint runs Google Ads, Meta Ads and SEO for trades and service businesses, so we build quote tools with the marketing in mind. Every quote keeps the source of the enquiry it came from, from the first click to the accepted price.
When a customer accepts, the quote value can go back to Google Ads and Meta as a conversion. The platforms then learn which searches and audiences bring in well-priced work, and you can compare channels on accepted quote value rather than on form fills.
That depends on tracking set up properly underneath, which is what our Google & Tracking Setup covers. If we already run your Google Ads, the quote values feed the same campaigns we manage.
Three ways to start.
You do not have to replace the tools that already work. Most quoting projects start from one of these.
Add a pricing engine to your job tool
Keep Tradify, Joblogic or Commusoft for scheduling and invoicing, and build only the part it cannot do: your pricing. Accepted quotes create jobs in the tool you already use.
Replace the pricing spreadsheet
Your spreadsheet already proves the pricing works. We turn it into a tool with checked inputs, current prices, branded output and a record of every quote sent.
Start on your website
Put the same pricing logic in front of customers as an instant quote calculator, then add the internal estimating tool once the logic is proven.
Proved against your past quotes.
A quoting build follows the same five stages as all our bespoke software: discovery, a written scope with a fixed quote, a build in stages, go-live, then ongoing management.
For a quote tool, discovery starts with your own quotes. We take a set of recent ones, won and lost, along with the spreadsheet or notes behind them, and write down every rule, rate and judgement call that produced each price.
Before go-live we run those same jobs through the new engine and compare the prices line by line. Where they differ, we find out why and agree the rule with you. You start quoting with a tool you have already seen price your own work correctly.
A fixed quote for your quote tool, and your data stays yours.
Every build has a one-off build fee, fixed in a written quote after discovery, plus monthly management from go-live covering hosting, monitoring, updates, fixes and small improvements. The full pricing model sits on our bespoke software page.
A licence to use it
Scalepoint keeps the code and you hold a licence to use it, with the option to buy the code out later.
The code becomes yours
Once you pay the build in full, you own the code.
Your data is always yours
Your price lists, quotes and customer records belong to your business under UK GDPR, and you can export them at any time.
Common questions about bespoke quoting software
How much does bespoke quoting software cost?
It depends on scope, so we quote after discovery rather than publish a price. A pricing engine for one type of job costs less than a full estimating system with survey capture, supplier imports and integrations. Your written quote fixes the build fee before you commit and sets out the monthly management fee in the same document.
Can it use the pricing spreadsheet we already have?
Yes, and it is usually the best starting point. We work through the spreadsheet with you, agree what each formula is really doing, and check the new engine against it before anything goes live.
Can customers accept the quote and pay a deposit online?
Yes. Customers can accept, sign your terms and pay a deposit by card or set up a Direct Debit from the quote itself. You see the acceptance on the record straight away.
Will it work with Tradify, Joblogic or Xero?
Usually, yes. Most mainstream job and accounts tools offer an API, and we check exactly what each one exposes during discovery, because it varies by product and by plan.
Who owns the software and our pricing data?
Your data, including your price lists and every quote, is always yours, and you can export it at any time. Code ownership is agreed per project in writing: by default Scalepoint keeps the code and you hold a licence with the option to buy it out, or the code becomes yours once you pay the build in full.
What happens when our prices or rules change?
You update rates, price lists and margins yourself from an admin screen. Changes to the logic itself, such as a new job type, are part of the ongoing management that starts from go-live with every build.
